A school that leaves the paper register must choose between two kinds of machine at the gate. One is a card that the student taps. The other is a machine that knows the student's finger or face. Both give the same main benefit. Attendance is marked the moment the student walks in. Parents can know within minutes, not at the next parent-teacher meeting. The small details are different. These details decide if the school still uses the system two years later.
How each one works
RFID gives every student an ID card with a small chip inside. A reader at the gate reads the card from a short distance. The student taps the card. With long-range readers, the student just walks past. The software then marks the student present. The card is also the student's photo ID. So RFID is usually sold together with an ID-card printing setup.
Biometric knows the student directly from the body. Fingerprint machines have been in schools for many years. Face-recognition devices are more common now. They need no touch, and they are faster in a queue. In both cases the student carries nothing. So there is nothing to forget or to give to a friend.

First ask: who is this for?
Many schools make one mistake. They pick the machine before they decide what problem it must solve.
- If parents want to know that their child reached school, RFID is usually enough. It is also the fastest to start. A card tap at 7:50 becomes a message on the parent's phone at 7:51. A parent cares much more about getting the message than about who tapped the card, the child or a classmate.
- If you need exact records for staff, hostels, or a board that checks attendance, biometric is the right choice. Attendance marked for another person is the main problem there. A card cannot stop it.
- If the students are very young, avoid fingerprint. Face recognition and RFID both work. Fingerprint readers have trouble with small or damp fingers. Then the queue at the pre-primary gate becomes the biggest delay of the morning.
Questions to ask every vendor
- What happens when the internet stops? The device should save the entries inside itself and send them later. If it needs internet to record anything, one router fault can lose a full day of data.
- How does it handle late arrivals and early leavers? One entry at arrival is not full attendance. Ask what the system does with a second punch. Ask if it can send a separate message when a student leaves early.
- Who gives a new card for a lost one, and how fast? If you must send a request to the vendor by courier, the office will make manual entries for weeks. It is worth buying a printer to print cards in the school.
- Does the attendance go into the same software as fees and exams? If the device makes its own spreadsheet, you have only moved the register from paper to Excel. The record should show in the student's profile with everything else. Then the class teacher, the office and the parent app all see the same number.
- Can it be used for more than one thing? RFID readers on the school bus, at the library desk and in the hostel can all read the same card. That is where the cost for each student starts to pay back.
What most schools do
Most schools do not choose only one. Students carry RFID cards, because the card is also their ID card and it works on the bus. Staff use a biometric device, because that record is used for salary and nobody should be able to mark it for another person. Both send data to the same attendance module. So the principal's dashboard does not care which device recorded the entry.
